General Clerk (Kerani Am)
- Provide supportive back office functions to ensure all data, documents, events and logistics are complete in efficient and effective manner.
- Perform data entry on staff movement (resignation, retirement, re-hire/ extension, acting ship, promotion, transfer, secondment, confirmation,return from leave) and scholars to ensure HRMS data are maintained effectively and efficiently.
- Prepare relevant letters and documents (offer letter, contract agreement, acceptance of resignation, letter of transfer, end of contract, medical check-up, financial affidavits, visa support letter) for staff and scholars accurately and in a timely manner.
- Process and maintain record of payment for scholars and vendors through PANTAS system and ensure all activities are done within the stipulated time period.
- Provide support on events and logistics (career fair, scholars’ development programme, booking of transport and printing, flight bookings) for scholars to ensure smooth function of Sourcing section.
- Create and organise filing system and ensure file documents are maintained efficiently, in line with I-Sec requirement.
- Perform daily operations related to inventorising department’s asset (IT equipment and stationery), distribute incoming and outgoing mails and maintain proper filling system to ensure smooth functioning of the Department.
- Distribute incoming and outgoing mails within a stipulated time period, in line with I-Sec requirements.
- Maintain proper recording to ensure well-organized filling system and closely monitor the movement of files and documents in the compactus and in line with I-Sec requirement.
- Provide assistance in the preparation of the Annual Operating Plan and reconciliation of data on the approved budget on a monthly basis to ensure sufficient provision and effective utilization.
QUALIFICATIONS / SKILLS
- Candidate must possess SPM with credit in BM, BI and MATH
- Candidate who have experience doing Clerical and Administrative Support or equivalent is encouraged to apply.
- IT skills are required for this post.
